Responsibilities

Independently manage collaborative and interdisciplinary engagement between faculty, staff, and partners across the five Centers at Scripps Institution of Oceanography and represent the program to outside organizations
Oversee all administrative operations, finance, human resources, and facilities for the program
Design and develop major program components and administer the full range of the program's operational requirements, including working with faculty on formulating short-term planning and procedures, evaluating the program’s effectiveness, and recommending changes as necessary
Identify and pursue funding opportunities and revenue streams, and participate in budgeting and accounting processes to support the financial infrastructure of the program
Develop and maintain a robust communication infrastructure for the collaborating partners, develop and organize conferences, workshops, and other public forums, and serve on committees representing the program as needed

Required

Advanced degree in related area and / or equivalent experience / training. Terminal degree in a related field preferred (PhD, JD, MD, etc.)
Academic background and experience in selected area of research preferred
Thorough knowledge of administrative, budgetary, human resources and financial principles and practices
Strong oral and written communication skills. With emphasis on working with students, staff, and faculty from diverse racial, cultural, ethnic, and socioeconomic backgrounds. Proven ability to compose, draft, and edit correspondence, reports, notices, and announcements
Strong ability to think creatively and independently on concepts requiring advanced analytical skills. Demonstrated ability to understand and synthesize diverse ideas, perspectives, data, and approaches to address complex problems. Develops strategic approaches to address challenges and aligns partners and resources for collaborative design and implementation
Strong interpersonal skills and ability to work with diverse groups to achieve results. Ability to interact in a positive manner with diverse clientele, including prominent social and business figures, international visitors and dignitaries, elected officials, campus and systemwide administrators, faculty, staff, and students using a high degree of tact, diplomacy, flexibility, and discretion
Strong ability to work collaboratively with internal and external peers and managers. Thorough knowledge of functional areas and understanding how work may impact other areas. Ability to learn and synthesize new information and make recommendations to administration for action/consideration
Solid fundraising experience
Proven experience with successful event planning and organization of special events and training programs, including familiarity with generally accepted practices of the industry. Proven skills to handle logistics of a wide variety of special events, including meetings, staff appreciation socials, lectures, seminars, and workshops
Demonstrated ability to work independently and as a part of a collaborative team, to organize, establish job priorities to meet deadlines, and constantly changing priorities. Proven ability to adapt to interruptions and a fluctuating workload, organize work and prioritize tasks to meet established and variable deadlines, and function effectively under deadline pressure to fulfill assignments on schedule
Experience with project management and demonstrated experience working on projects from conceptualization to completion
Strong originality and creativity to anticipate and plan for new or changing workloads, to recommend new administrative approaches to support organizational objectives, to suggest or carry out special projects, and to resolve problems
Demonstrated experience in and proven ability to function with a very high degree of accuracy at a coordinator level, and to represent the Program's best interest at all times
Excellent customer service skills. Ability to communicate in a helpful, pleasant, and informative manner to a wide variety of people, both in person and on the phone
Ability to properly assess crisis situations involving students, staff, and/or academics and provide appropriate referrals and support
Thorough knowledge of applying adult learning theories and education methodologies. Strong working knowledge of higher education
Experience with complex and confidential calendaring, public relations, development, special projects, and community relations in a fast-paced environment
