Event Coordinator – Harvest Moon Fundraiser (Seasonal / Part-Time)
Solutions for Urban Agriculture (SFUA) is seeking an Event Coordinator to support the planning and execution of Harvest Moon, their annual fundraising event. This role focuses on coordination, logistics, and on-site execution within a committee-led planning model, requiring close collaboration with volunteer committee chairs and the Executive Director.
Responsibilities
Coordinate and track the master event timeline
Track committee deliverables, deadlines, and dependencies
Prepare meeting agendas, notes, and action items
Maintain centralized planning documentation
Identify risks or delays and help resolve execution gaps
Administer Greater Giving (ticketing, sponsorships, auctions, reporting)
Coordinate logistics with approved vendors and registration partners
Collect and compare quotes for review and approval
Coordinate culinary, décor, volunteer, and auction logistics with committee leads
Serve as the primary venue liaison with Tanaka Farms
Act as operational lead during event week and day-of execution
Troubleshoot on-site issues and escalate as needed
Qualification
Required
Experience working with volunteer- or committee-led teams
Strong organizational and project management skills
Proficiency with Google Workspace
Clear, calm communication in fast-moving environments
Preferred
2+ years coordinating complex events (200+ attendees preferred)
Experience with event software (Greater Giving preferred)
Nonprofit fundraising event experience strongly preferred
