Office Manager

JAYO DEVELOPMENT, INC is a construction company seeking a highly organized and detail-oriented Office Manager to oversee daily office operations. This role is essential in maintaining smooth administrative, financial, and project-related functions within the company.

Individual and Family Services

Responsibilities

Organize and coordinate office operations, procedures, and administrative systems
Manage office supplies, equipment, and vendor relationships
Handle incoming and outgoing correspondence, including mail, email, and document distribution
Schedule and coordinate meetings, appointments, and travel arrangements
Provide administrative support to management and project teams
Work with vendors, contractors, and suppliers
Ensure adherence to company policies and procedures
Track, code, and allocate labor, materials, and other costs to specific construction projects
Monitor potential overruns and compare spending against purchase orders or budgets
Process and code vendor and subcontractor invoices
Ensure timely payments and maintain AP/AR records
Prepare progress billings and customer invoices
Prepare and analyze balance sheets, income statements, cash flow reports, and job-specific cost reports
Monitor cash balances and coordinate payment runs
Assist with payroll processing and accurate timecard allocation to projects
Support preparation of required filings including 941s, W-2s, and 1099s
Work closely with project managers to develop budgets, analyze financial data, and support project goals
Ensure compliance with accounting principles, company policies, construction-industry regulations, and tax requirements

Required

Exceptional organization and time-management abilities
Strong written and verbal communication skills
Proficiency with Microsoft Office Suite and Sage Billing System
Ability to multitask, prioritize, and work independently
Strong problem-solving and decision-making skills
High attention to detail and accuracy
High School Diploma required
Strong understanding of job-costing principles and financial reporting
Excellent collaboration skills for working with project managers, subcontractors, and vendors

Preferred

Bachelor's Degree in Business Administration is a plus but not required
Prior experience in an administrative or office management role preferred
Experience in construction accounting or a related field is highly beneficial
Proficiency in accounting software and general ledger maintenance, preferably Sage 50
