Responsibilities
Maintain and organize electronic project records: index, tag, and file documents in the company EDMS to ensure easy retrieval and audit readiness
Process incoming and outgoing project documents, including submittals, RFIs, contracts, change orders, and vendor documentation
Perform routine data entry, document quality checks, OCR scanning, and metadata updates to preserve document integrity and searchability
Use Procore/SharePoint (or designated DMS) to route documents, update statuses, and support project teams with access controls and permissions
Support records retention and disposition schedules; prepare records packages for audits, closeouts, and regulatory requests
Coordinate with project managers, document controllers, and field staff to resolve discrepancies and enforce document control standards
