Accounting and Administrative Coordinator

Responsibilities

Process payments including checks, credit cards, ACH, and EFT transactions
Prepare and distribute invoices; respond to billing and payment inquiries
Manage ACH setup, collections, and specialized billing (e.g., government or agency accounts)
Reconcile revenue and prepare recurring general ledger entries
Support annual audit preparation related to revenue and receivables
Maintain accuracy across financial databases and accounting systems
Review and process invoices, travel expenses, and corporate credit card statements
Ensure proper coding, approvals, and documentation
Assist with payment processing and month-end close activities
Maintain vendor records, W-9s, ACH forms, and federal registration verifications
Prepare and file 1099-MISC and 1099-NEC forms
Prepare and distribute monthly financial statements
Compile audit schedules and supporting documentation
Assist with conference and meeting registration, payments, refunds, and cancellations
Maintain registration databases and generate reports
Provide logistical and on-site event support as needed
Support membership renewals, invoicing, and acquisition efforts
Update member records in the association management system (AMS)
Respond to member inquiries related to billing and accounts
Provide receptionist and front-desk backup as needed
Maintain working knowledge of finance, membership, and registration systems
Ensure compliance with internal controls and accounting procedures
Participate in training and perform additional duties as assigned

Required

relevant administrative or accounting experience required
Experience with accounts receivable, invoicing, financial reporting, or nonprofit accounting
Strong organizational, communication, and customer service skills
High attention to detail with the ability to manage multiple priorities
Proficiency in Microsoft Excel, Word, Outlook, and PowerPoint
Familiarity with accounting systems, databases, and office operations

Bachelor's degree preferred
