Office Specialist
The State of Utah is seeking an Office Specialist to join the Division of Professional Licensing (DOPL). This role involves processing professional license applications while providing exceptional customer service and ensuring compliance with relevant laws and regulations.

Responsibilities
Review, evaluate, and process license applications accurately and efficiently
Ensure compliance with all applicable statutes, rules, and procedures
Respond to inquiries from the public via phone, email, and in person
Provide clear and concise information regarding licensing requirements and processes
Maintain a comprehensive understanding of licensing laws, rules, and regulations
Stay up-to-date on industry trends and regulatory changes
Accurately input and verify data into agency software systems
Prepare and draft correspondence, reports, and other documents
Maintain organized and up-to-date records
Utilize strong computer skills to efficiently complete tasks
Qualification
Required
1+ years of experience in a public-facing customer service role
1+ years of experience working in an office performing clerical duties
1+ years of experience producing professional communications, such as letters and emails, and responding timely to written inquiries with clarity and accuracy
Working knowledge of Microsoft Word and Excel, or their Google equivalents (Docs and Sheets)
Excellent verbal and written communication skills; English fluency
Strong analytical and problem-solving abilities
Works collaboratively with colleagues to foster a positive and productive work environment
Strong work ethic and reliable attendance
Possess strong interpersonal skills and the ability to interact with others in a professional and courteous manner
Strong organizational and time management skills
Ability to handle confidential information with discretion
Ability to multitask and prioritize tasks
Strong attention to detail and accuracy
Preferred
Experience working in the public sector (federal, state, or local government) providing customer service
Experience referencing laws, rules, and/or policies and procedures
Experience in properly handling confidential information
Working with databases and inputting or managing data, ensuring accuracy
