Administrative Assistant
Ultimate Staffing is seeking a reliable and detail-oriented Administrative Assistant for a fast-paced office environment. The role involves supporting scheduling, payroll coordination, and general office operations, while working closely with various team members to ensure smooth daily operations.
Responsibilities
Answer and route incoming calls with clear, professional communication
Communicate with elderly clients who may be particular about their needs-requires patience, confidence, and professionalism
Print, forward, or organize email communications to appropriate team members
Perform light paper filing (traditional filing systems)
Maintain and update expiring credentials and staff documentation
Use Matrix software for basic office tasks (training provided)
Assist the Office Manager with ad‑hoc projects and general administrative duties
Support the team in an open‑air office environment while staying focused and productive
Collect and process timesheets submitted via email
Assist scheduler with outreach to caregivers regarding updates or corrections
Help coordinate interviews and application steps for new candidates, including:
Sharing required documentation
Scheduling intake appointments
Arranging in‑office meetings with nurses
Qualification
Required
Reliable, flexible, and detail-oriented
Strong communication skills and professional phone presence
Ability to handle direct, sometimes blunt conversations from elderly clients with grace
Organized, dependable, and able to multitask
Comfortable working in a small team in a shared workspace
Preferred
Interest or experience in caregiving, home care, nursing, or healthcare
