Responsibilities

Proactively managing calendars and coordinating onsite and offsite meetings, including all aspects of the meeting as needed (technology, food, travel, etc.)
Making travel arrangements and ensuring trips are well organized and coordinated, and ensuring expenses are submitted on time
Team coordination of budgets, training, and awards
Managing timely responses to work requests with autonomy
Identifying and solving moderately complex process issues, setting priorities, and making decisions based on quality and accuracy
Implementing improvements to administrative and operational processes
Setting an example for other executive assistants and leaders within the business unit as part of a broader team for purposes of sharing information, best practices, and providing back-coverage across departments
Working on special projects and programs. This may involve projects for leadership as well as cross-department initiatives such as recognition programs

Required

Bachelor's degree in Business Operations, Administration, Operations Management, Communications, or a similar field. Equivalent experience will be considered in lieu of a degree
10+ years of administrative experience
Project coordination and adaptability with the ability to work well with all levels of internal employees, executives, and outside clients and vendors
Project management experience
Strong verbal, interpersonal, and written communication skills
Strong organizational skills
Strong internet research skills
Comprehensive experience in Microsoft Office Suite including Word, PowerPoint, Excel, SharePoint, Teams, and Outlook
High level of integrity in managing confidential information
Ability to anticipate business and leadership needs and proactively carry out duties
Ability to manage and prioritize multiple tasks in a fast-paced environment of tight deadlines and high-quality standards
U.S. Citizenship essential to comply with government contract/agency or department of Federal Government requirements
Ability to obtain and maintain a U.S. national security clearance
