Legal Secretary Lead

LHH is partnering with a boutique litigation firm in San Diego seeking a Legal Secretary Lead to support firmwide operations and elevate the performance of the legal assistant team. This role is ideal for a senior, hands-on litigation assistant who excels at stabilizing workflows, implementing structure, and guiding peers through expertise.

Responsibilities

Serve as the firm’s subject‑matter authority for filing, calendaring, workflow coordination, and deadline management
Design, implement, and maintain Standard Operating Procedures (SOPs), templates, and best practices for the legal assistant team
Maintain consistent systems for court calendaring, ticklers, court‑rules compliance, internal deadlines, document management, formatting, and e‑filing processes
Train, mentor, and support junior and mid‑level legal assistants—both in-office and remote—to ensure quality, consistency, and adherence to firm standards
Provide high-level legal assistant support to up to two attorneys, modeling best practices in workflow efficiency and communication
Serve as the go-to resource for e‑filing platforms, service requirements, document formatting, and litigation support tools
Reduce workflow inconsistencies that create inefficiencies for attorneys or impede case progress
Partner closely with the Firm Administrator to improve case intake, task routing, workflow visibility, and status‑tracking systems; identify bottlenecks and risk points; and recommend operational improvements to enhance accuracy, speed, and accountability
Maintain well-organized systems for deadlines, court rule tracking, and litigation calendars

Required

7+ years of experience as a litigation legal assistant or legal secretary required
Demonstrated success developing or improving workflows, SOPs, training programs, or calendaring systems
Strong knowledge of state and federal court rules, e‑filing procedures, service requirements, and deadline management
Proven ability to train, mentor, or guide peers in legal support roles
High emotional intelligence with the ability to lead without formal authority
Proficiency in Microsoft Word, Outlook, Adobe Acrobat, litigation support tools, and document management systems
Strong organizational, communication, and prioritization skills, with a proactive and solution‑oriented mindset
