Responsibilities

Liaison between the Residents and CAM to provide high quality of client service to residents via telephone, email and fax to assist and provide follow-up during issues/problems and after resolution with correspondence to document the issue
Develop and maintain a courteous, service-oriented rapport with clients
Contribute toward overall office operational needs by helping to provide phone coverage and other administrative office duties
Provide administrative support for the CAMs, to include routine correspondence, email and phone to Board of Directors, clients and contractors
Review and process accounts payable utilizing an online system. Follow standard procedures from the receipt of invoices, checks, signatures and mailing checks
Home Sales: Complete the required documents and procedures for home sales orders including PAL, Questionnaires, Refinance. Complete standard procedures for closing units, process and track orders and their payments and complete Welcome Packages in a timely fashion
Assist with coordination of resident requests and administration of maintenance services including writing work orders based on information from clients and CAM
Administration of Emergency Information Forms - update, maintain and track process of notices and compliance for time sensitive documents for current resident and tenant contact information per required form
Administration of required rental documentation including type of lease, lease dates, lease invoices, track rental requirements as needed
Maintain logs/reports to be provided to the Board of Directors and CAM on an as needed or monthly basis. Including correspondence, home sales, work orders, water/utilities, resident insurance, vehicle tracking, amenities, compliance and architectural requests
