Settlement Administration Specialist

Responsibilities
Lead Firm attorneys and paralegals in managing the settlement phase of class, collective, PAGA, and hybrid wage-and-hour and employment cases
Supervise aspects of the court approval process involving settlement administration, including but not limited to working with the settlement administrator on compliance declarations, and ensuring all procedural requirements of the settlement are met
Handle the identification and solicitation of settlement administration bids from settlement administrators in collaboration with case stakeholders; review bids for compliance, negotiate pricing and other terms, and select the administrator in consultation with case stakeholders
Ensure that settlement bids accurately reflect settlement terms and comply with statutory and case law requirements, checking for problematic terms (such as overbroad indemnification requirements) and ensuring that bids comport with settlement-agreement requirements
Oversee the settlement administrator’s distribution of settlement notices and opt-in/opt-out forms in connection with case teams; ensure that deadlines are calendared and met, including for class list production, review and approval of administrator calculations, funding, payment, and check void dates
Respond to class member inquiries, including disputes over payment calculations, eligibility, and objections; provide guidance to paralegals on sensitive communications and ethical boundaries in consultation with case stakeholders; and work with class members to address disputes regarding class member payments, eligibility, and objections in consultation with case stakeholders
Regularly liaise with settlement administrators in consultation with case stakeholders; work with settlement administrators and case stakeholders to ensure accurate and timely settlement calculations and class list hygiene; and coordinate with named plaintiffs and class member witnesses with whom O&G is in contact to ensure contact information is provided to the settlement administrator for notice and issuance of service awards
Assist attorneys with ensuring that all settlement administration activities comply with court orders, settlement agreements, and ethical obligations; oversee CRM compliance checks and reporting requirements
Provide guidance and oversight to paralegals handling settlement administration tasks, including deadline tracking and client correspondence; develop and update call scripts, FAQs, and training materials for paralegals working on settlement administration tasks; and supervise the creation and maintenance of settlement trackers and coordinate with finance/accounting for payment processing, as needed
Work with the Firm’s finance team to ensure accurate and timely settlement payments to O&G and co-counsel; regularly track and report on progress and maintain class lists in Firm databases in conjunction with the litigation operations and business development teams; and liaise with other Firm teams as needed
Assist with administrative tasks and ad hoc assignments and proactively assume other duties as necessary
Qualification
Required
Minimum of 5 years of experience in legal administration, claims processing, or litigation support
Fully compliant with the laws set forth in the California Business and Profession Code: § 6450
Strong familiarity with federal and state court litigation procedures
Advanced proficiency in Microsoft Excel for data analysis, reporting, and workflow automation
Proven track record of supporting attorneys in all aspects of litigation
Familiarity with FLSA, Rule 23, PAGA, and hybrid settlement processes
Strong customer service, sales, and negotiation skills
Ability to exercise initiative, good judgment, and discretion
Strong organizational, verbal, written, and in-person communication skills
Ability to show empathy and patience with a genuine desire to help people
Experience building, mentoring, and developing a team
Ability to cultivate a respectful work environment
Clear and concise communication skills
