Hospice Operations Coordinator
Unified Care Hospice is seeking a highly organized and dependable Hospice Operations Coordinator to support the day-to-day administrative and operational functions of their hospice agency. This role is essential in ensuring smooth operations so that the clinical team can focus on patient care, requiring strong hospice or healthcare administrative experience.
Responsibilities
Manage incoming calls, emails, faxes, and correspondence professionally
Maintain organized electronic and paper records
Handle copying, scanning, faxing, and document distribution
Manage incoming and outgoing mail
Support daily office workflow and task prioritization
Assist with intake coordination, including gathering referral information
Request and follow up on medical records from hospitals, facilities, and physician offices
Track intake status and communicate updates to leadership
Support admissions and transfers with required administrative documentation
Coordinate delivery, exchange, and pickup of DME for patients
Order and track hospice medical supplies and office supplies
Maintain inventory logs and alert leadership to shortages or concerns
Communicate with vendors regarding orders, delays, or issues
Schedule onboarding and orientation for new employees
Coordinate background checks, drug screens, and onboarding paperwork
Track personnel files, licenses, certifications, and required documentation
Assist with offboarding and equipment return
Collect and track timesheets, mileage logs, and visit documentation
Follow up on missing or inaccurate submissions
Assist leadership with payroll preparation and audits
Support scheduling for admissions, meetings, and trainings
Ensure required documents are properly filed and uploaded
Track missing forms or signatures and follow up with staff
Assist leadership with audits, surveys, and document retrieval
Maintain administrative logs and trackers as assigned
Serve as a reliable support resource for staff questions
Communicate clearly and professionally with leadership and clinical teams
Escalate issues appropriately and maintain confidentiality
Support special projects as directed by leadership
Qualification
Required
Excellent organizational and time-management skills
Strong written and verbal communication skills
Ability to manage multiple tasks and deadlines
Comfortable working with sensitive and confidential information
Proficiency with basic office technology (email, fax, EMR, spreadsheets)
Calm, professional, and solutions-oriented demeanor
Preferred
Prior experience in hospice or healthcare administration strongly preferred
