Responsibilities
Provide administrative support to managers and teams, including document preparation and file maintenance
Manage office equipment, mailroom operations, phone directory updates, and general supply ordering
Gather, organize, and summarize data for internal reports and presentations
Oversee property management, building systems, cleaning, maintenance, and security
Manage services for café machines, vending, water fountains, and general office amenities
Review and submit utility and vendor invoices for approval
Plan and execute logistics for meetings, training sessions, conferences, and internal events
Coordinate facilities, catering, agendas, and communications for events
Maintain departmental files and ensure compliance with internal procedures
Collaborate with Purchasing to manage inventory and supply needs
Perform other duties as may be assigned or required by management
Qualification
Required
5+ years of office administration experience
2-year college degree or equivalent experience
Strong organizational and problem-solving abilities
Excellent communication and interpersonal skills
Ability to manage multiple tasks and prioritize effectively
Experience planning and supporting large meetings and events
Ability to manage, delegate, and adapt with changing priorities
Ability to handle matters confidentially with accurate filing and maintenance of documents
Professional competence with Microsoft Office
Professional written and spoken fluency in English required
Be able to usually work in an office environment
Be able to travel up to 10% of the time for event planning
Must be able to lift up to 25 pounds occasionally
Ability to sit or stand for extended periods
Manual dexterity required for using office equipment
Legally permitted to work in the country you are applying and willing to undergo an employment background check
Preferred
Bachelor's degree is a plus
Previous SAP or other ERP Systems is an asset
