Administrative Coordinator
Solvias is a global provider of chemistry, manufacturing, and control analytics to the life sciences industry. The Administrative Coordinator will manage front-office operations, coordinate administrative tasks, and ensure a welcoming experience for visitors and staff at the Morrisville, NC facility.

Responsibilities
Serve as a reliable point of contact for visitors, vendors, and internal staff
Support smooth daily office operations with minimal disruption to lab and business activities
Maintain the Site Director’s calendar and provide proactive administrative support, including scheduling meetings, tracking action items, sending reminders, and following up to help ensure key tasks, deadlines, and commitments are completed.Ensure visitors follow site procedures and have an excellent onsite experience
Maintain the Visitor Management System (VMS) and update ERP system
Receive and distribute personnel packages and shipments in a timely manner
Follow up on open purchase orders to ensure timely fulfillment
Coordinate onsite meetings, interviews, trainings, audits, and client visits
Manage conference room calendars and ensure rooms are prepared (AV readiness, signage, supplies)
Support small office events, including catering ordering & setup, room readiness, and clean‑up
Coordinate travel arrangements for visiting guests (including Solvias personnel)
Maintain and update office reference materials, including the Visitor Guide
Order and maintain adequate stock of office supplies, canteen items, cleaning supplies, and customer snacks
Manage inventory for shared spaces, including customer refrigerators and break areas
Communicate with vendors regarding order status, tracking information, and lead times
Monitor and reconcile receipts against purchase orders
Assist with additional administrative and office coordination tasks as needed
Qualification
Required
High school diploma or GED required; Associate's degree or equivalent experience preferred
2+ years experience in a front desk, receptionist, office coordinator, or administrative support role
Experience supporting a high-traffic office (multi-line phones, frequent visitors, competing priorities)
Preferred
Ability to anticipate needs, resolve minor issues independently, and escalate appropriately
Willingness to learn and carry out new and complex tasks
Ability to work both independently and collaboratively with internal and external stakeholders
Knowledge of word processing, spreadsheet, and database applications
Excellent analytical and problem-solving skills
Strong attention to detail and organizational abilities
Effective communication and interpersonal skills
