CHHS Administrative Coordinator - Open to Current CSULB Employees Only - 2 Positions Available
California State University, Long Beach (CSULB) is seeking a CHHS Administrative Coordinator to provide administrative support to the College of Health and Human Services. The role involves assisting various Department Chairs/Directors with budgeting, communications, scheduling, and personnel matters while serving as a customer service specialist for faculty, staff, students, and the public.

Responsibilities
Independently performs data entry of expenditures. Reconciles funds every month, reporting errors to the Dean's office; maintains fund balances. Assists the Department Chair/Director in preparing and/or projecting Department budget or expenditure annually
Serves as liaison between student, faculty, and administrators and the public, including answering phones and greeting Department visitors. Is able to independently solve customer problems and identify appropriate resources. Maintains Sharepoint and website content
Provides administrative support to Chair/Director for recruitment process of faculty, staff, student assistants, and independent contractors per CSULB/CHHS policies and procedures. Obtain information needed for hiring and provide to appropriate departments per CSULB/CHHS policies and procedures
Maintains all department data, including but not limited to personnel, grant, accreditation, and student data, as needed per CSULB and CHHS policy or based on the needs of the department. Maintains records of course outlines and syllabi, including recommended revisions, additions, and edits of final copy for consistency with policy
Assists Chair/Director in tracking faculty schedule availability and preferences. Enter scheduling data into database and run reports related to faculty and classroom resource allocations
Qualification
Required
Equivalent to five years of administrative support experience required
Strong proficiency across Microsoft products, particularly with advanced Microsoft Excel skills and experience
Ability to communicate with an ethnically and culturally diverse campus community
Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures
Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a 'vision of excellence.'
Preferred
Experience with purchasing and managing a budget preferred
Hands-on experience with PeopleSoft and SharePoint is highly preferred
