Executive Assistant

The Executive Assistant will provide high-level support to the executive by managing communications, organizing workflows, and coordinating travel arrangements while maintaining excellent relations with colleagues and clients.

Responsibilities

Support executive with daily activities as required
Act as the point of contact between the executive and internal or external constituencies
Organize workflow by reviewing and prioritizing executive’s emails, correspondence and meeting preparation requirements
Coordinate and manage calendar for internal and external meetings and conference calls, including room arrangements, catering, audiovisual, etc
Work closely with the executive to proactively keep her or him well-informed of upcoming commitments, responsibilities, tasks or potential issues
Screen incoming calls, emails and requests and redirect when possible to optimize executive’s time
Assist executive with preparation of internal and external communications
Coordinate and manage all travel arrangements
Prepare and submit expense reports
Organize social functions as required
Perform other job duties as assigned by the supervisor

Required

College degree required
5+ years experience supporting a corporate executive
Advanced skills in Microsoft Office Suite and Google Workspace
Ability to handle multiple tasks, changing priorities and effectively meet deadlines
Deliver high-caliber work in a fast-paced environment
Mature judgment in interpersonal relations
Self-starter and autonomous
Occasional overtime required

Preferred

Proficiency in French is favorable, but not required
