Accounting Office Manager
Sundial is seeking an Accounting Office Manager to oversee the day-to-day accounting, payroll, and office administration for Johnston’s Surveying. This role involves managing QuickBooks, ensuring accurate financial records, and supporting office administration tasks.
Responsibilities
Manage all day-to-day accounting in QuickBooks (IES)
Enter and review transactions, journal entries, and corrections
Maintain clean balance sheet accounts (prepaids, accruals, depreciation)
Ensure transactions are accurate and properly documented
Coordinate with outside accountants as needed
Complete month-end close each month
Reconcile bank and credit card accounts
Prepare basic financial reports for leadership
Identify and flag discrepancies or issues that need attention
Review bank activity regularly
Ensure deposits and payments are recorded correctly
Maintain basic banking controls (ACH access, approvals, etc.)
Help prevent posting errors and cash issues
Set up and maintain vendors
Process bills and payments
Maintain accurate AR records and aging reports
Work with Revenue Operations to resolve billing discrepancies
Process payroll in QuickBooks
Review employee time entries for accuracy
Make payroll corrections when needed
Handle payroll reporting and year-end forms
Act as the main office and administrative point of contact
Handle employee administrative needs (payroll, PTO, benefits, timekeeping)
Coordinate onboarding and offboarding paperwork and system access
Maintain employee and personnel records
Track PTO and support year-end payouts
Support benefits administration and 401(k) coordination
Set up new clients in QuickBooks and collect required documents
Maintain organized digital and physical filing systems
Handle W-9s, lien waivers, and certificates of insurance
Coordinate insurance renewals and maintain insurance records
Track company vehicles, equipment, and assets
Support workers’ comp and insurance audits
Maintain business licenses, Sunbiz filings, and basic compliance items
Keep SOPs organized and up to date
Qualification
Required
Strong working knowledge of QuickBooks Online (IES)
Solid bookkeeping and accounting fundamentals
Experience with bank reconciliations and month-end close
Payroll processing experience
Strong attention to detail and organization
Comfortable working independently and owning responsibilities
Discretion when handling confidential information
Preferred
Experience in construction, surveying, or professional services
Experience working with outside accountants
Exposure to intercompany or multi-entity accounting
