Responsibilities

Perform diversified tasks in support of the entire Legal Department
Act as a liaison for the Legal Department, including receiving visitors
Effectively manage deadlines and produce high quality work
Schedule meetings and appointments and arrange conferences calls
Manage calendars and deadlines for department attorneys
Draft correspondence and other documents, take notes at meetings
Answer phone inquiries, direct calls to the proper parties and provide basic company information
Organize, archive and maintain department files and data, including creation of spreadsheets and presentations
Receive and process all outside counsel invoices and route to the appropriate department attorney
Organize and maintain document filings with courts and administrative agencies, including electronic and hard copies
File applications, permits and licenses with appropriate government agencies and offices
Order and maintain office supplies for the department
Arrange and facilitate domestic and international ground and air mailings and shipments
Organize and maintain contacts with government agencies, outside counsel and other contacts
Route legal documents and contracts for review and signatures; manage signature workflow
Create internal work orders and requisitions, as needed
Complete travel arrangements and accommodations, as needed
Have consistent and timely attendance
Ensure all Resorts World core values and property and department standards are implemented and applied
Use personal device/ cellular phone for job related operational tasks, job duties, review company documents, etc
Other duties as assigned

Required

At least five years of experience in an administrative role in a similar environment
Must have proficient computer skills using Word, Microsoft Outlook, Excel, and PowerPoint
Must be proficient in the use of Microsoft Teams and Zoom
Must be proficient in the use of office equipment
Ability to exercise sound judgment and discretion and maintain confidences with respect to sensitive information
Strong interpersonal skills with the ability to communicate effectively with guests, government agents, opposing counsel, executives, and other Team Members of different backgrounds and levels of experience
Ability to work varied shifts, including nights, weekends and holidays
Ability to effectively communicate in English, both written and oral
Polished appearance and demeanor
Ability to obtain and maintain full knowledge and understanding of company and department rules and regulations, policies and procedures
At least 21 years of age
Proof of eligibility to work in the United States
Position required licenses

Preferred

At least one year of experience working in a legal department or law firm
Bachelor's degree in a related field
Previous hospitality administrative experience
Previous experience in a large, luxury resort setting
