Responsibilities
Provide exceptional project coordination for environmental remediation projects
Ensure seamless communication, efficient resource allocation, and high customer satisfaction
Facilitate communication between office and field teams
Manage project documentation
Proactively remove obstacles to project completion
Foster collaboration among stakeholders
Liaise with vendors, the warehouse, insurance adjusters, project managers, and customers
Manage the project lifecycle, including assembling estimates, notifications, and manifests
Utilize HubSpot for documentation
Develop material allowances and scope sheets
Track contracts, invoices, submittals, and estimates
Provide daily status updates
Maintain project schedules and files
Collect site reports and logs
Prepare change orders and supplements
Assist with material purchases and deliveries
Facilitate customer warranties and certificates of completion
Qualification
Required
1-3 years of experience in construction or restoration project coordination or a related administrative role with strong organizational and communication skills; high school diploma or GED required
Proficiency in Google Suite; Xactimate software experience is a plus; familiarity with CRM or project management software (e.g., HubSpot) is highly desirable
Bilingual English/Spanish is required
Basic understanding of financial reports and strong mathematical skills
Exceptional listening and communication skills to interact effectively with diverse stakeholders
Proactive and detail-oriented approach to problem-solving and task management; ability to work independently and collaboratively in a fast-paced team environment
Availability during standard business hours (Monday - Friday, 7:30 AM - 4:30 PM with a 1-hour daily lunch), with occasional overtime or schedule adjustments as needed
Ability to stand, bend, kneel, reach, stoop, lift/carry up to 30 lbs, operate a computer, sit for extended periods, communicate in-person/virtually/at distances, and drive with reliable transportation to offices
