Office Technician (Typing) - Inmate Assignments (IA)

Responsibilities
Assist the Inmate Assignment Lieutenant in all aspects of the IWTIP by using the Strategic Offender Management System (SOMS) to; assign inmates to work, education or ISUDT assignments; track inmate movement between facilities and update assignments if appropriate
As needed, build positions within SOMS or make changes to existing positions; track assigned inmates with parole or transfer dates and place them on “S” time as needed
Produce and distribute reports from SOMS via e-mail to intuition staff
Provide assistance to work area supervisors regarding IWTIP procedures (Time Keeping and Work Supervisor Reports)
Type and maintain inmate duty statements
Process gate passes and monitor status
Type reports, letters and memorandums, as assigned by the Inmate Assignment Lieutenant, using knowledge of vocabulary, grammar and spelling
Answer Inmate Request’s for Interview, establish and maintain a filing system for records relative to IWTIP
Answer telephones, take messages, copy, fax or scan
Maintain the office tool inventory, sort and distribute mail, distribute reports as necessary and order supplies
Directly supervise two (2) or more inmate clerks in the performance of less technical and non-sensitive tasks
Process inmate timecards and performance evaluations
Attend a minimum of 40 hours of In-Service Training annually
Perform administrative duties including, but not limited to: adhere to Department policies, rules and procedures; submit administrative requests including leave, travel, and training in a timely and appropriate manner; accurately report time, and submit timesheets by the due date
Qualification
Required
Ability to type at a minimum speed as designated on the Class Specifications
Obtain a valid typing certificate confirming your ability to meet the minimum typing speed, prior to being hired
Ability to make arithmetical computations of medium level of difficulty; ability to add, subtract, multiply, and divide all units of measure using whole numbers, common fractions, and decimals
Ability to evaluate situations accurately and take effective action; compile clear and comprehensive reports; deal tactfully with a wide range of inquiries; and apply specific laws, rules, and office policies and procedures
Ability to perform difficult clerical work; operate various office machines; type at a speed of not less than 40 words per minute; extrapolate information from various documents; consistently exercise a high degree of initiative, independence, and originality in performing assigned tasks; and to maintain regular attendance and be punctual
