Responsibilities
Manage and coordinate multiple team members’ calendars, including scheduling meetings across time zones
Prepare, submit, and track expense reports accurately and on time
Support meeting logistics (agendas, notes, action items, and follow-ups)
Use Miro and Airtable to organize information, track projects, and support team workflows
Leverage AI tools (e.g., AI assistants, summarization tools, scheduling aids) to improve efficiency, organization, and quality of work
Act as a point of contact for internal and external stakeholders
Handle ad hoc administrative and operational tasks as needed
Qualification
Required
1–3 years of experience in an Executive Assistant, Administrative Assistant, or similar support role
Experience supporting multiple leaders or team members simultaneously
Strong calendar management and organizational skills
Experience managing expenses and administrative processes
Familiarity with Miro and Airtable (or similar collaboration and database tools)
Comfort using AI-enabled tools to assist with productivity, organization, and task execution
Excellent written and verbal communication skills
Close attention to detail and the ability to handle confidential information with discretion
Preferred
Experience working in a fast-paced or cross-functional environment
Interest in exploring and adopting new tools to improve workflows and processes
