Claims Specialist

FashionPass is an online, subscription-based clothing and accessory rental service for women, on a mission to empower women to look and feel their best. They are seeking a detail-oriented and organized part-time Disputes and Claims Specialist to manage and resolve payment disputes and shipping claims, working cross-functionally with Finance, Customer Support, and Logistics.

Responsibilities

Monitor, investigate, and respond to Stripe disputes, chargebacks, and retrieval requests in a timely manner
Gather and submit compelling evidence (order details, customer communications, delivery confirmation, etc.) to contest invalid disputes
Stay up-to-date with Stripe’s policies and card network regulations (Visa, Mastercard)
File and manage claims with FedEx (and other carriers) for lost, damaged, or undelivered packages
Handle all correspondence and follow-up with carrier representatives to ensure claims are processed to resolution
Maintain meticulous records of all filed claims, including amounts claimed, recovered, and incurred as losses
Track and analyze dispute and claim trends, root causes, and financial outcomes
Provide regular reports to management on recovery rates, loss areas, and process improvement opportunities
Create and maintain dashboards to track the status and financial impact of all open disputes and claims
Develop and refine internal procedures to reduce dispute and claim incidence and improve recovery rates
Proactively identifies opportunities to automate repetitive tasks and improve workflows, suggesting practical process improvements
Work with Customer Support to address customer issues pre-emptively and with Logistics to improve packaging/shipping practices
Partner with the Finance team on reconciliation, reporting, and loss forecasting
Work on other ad-hoc projects related to process improvement, system implementation, or financial analysis as needed

Required

Must be able to work Monday - Friday either 9am -1pm PT or 1pm - 5pm PT
1+ years in a role managing payment disputes (Stripe experience strongly preferred) and/or shipping/logistics claims
Strong ability to analyze data, identify patterns, and maintain meticulous records
Proficiency in Excel/Sheets is essential
Excellent written and verbal skills for professional correspondence with customers, carriers, and financial institutions
Comfortable using AI and digital tools to improve workflows
A problem-solving mindset focused on efficiency and continuous improvement
Comfort with Stripe Dashboard, carrier claim portals, Google Workspace, and CRM tools

Preferred

Familiarity with e-commerce, subscription business models, and/or retail logistics is a plus
