Administrative Assistant to the Office Manager

The Administrative Assistant to the Office Manager will provide critical support to the leadership team, ensuring efficient office operations and assisting with administrative tasks.

Responsibilities
Assist the Office Manager with day-to-day coordination of staff, task tracking, and internal deadlines
Manage shared calendars, meeting schedules, internal communications, and staff reminders
Prepare agendas, take and distribute meeting notes, and track action items
Draft, format, and proofread correspondence, memos, and reports as requested
Support onboarding and orientation for new Account Managers and interns
Maintain internal trackers, checklists, and office systems to ensure smooth daily operations
Prepare and maintain Excel spreadsheets for case metrics, task status, and internal compliance
Monitor status of monthly, quarterly, and annual reporting tasks; flag delays or data gaps
Assist with file management (both digital and physical), including document scanning, uploading, and organizing
Support Account Managers by responding to administrative client requests (e.g., verification letters, account summaries, document copies)
Update client information, case notes, and service records in CEPS databases and systems
Run queries, export reports, and assist with data audits to ensure accuracy across systems
Qualification
Required
1–2 years of administrative or office coordination experience in a nonprofit, social service, or high-volume setting
Advanced proficiency in Microsoft Office, with strong Excel skills (e.g., formulas, filters, formatting, pivot tables, shared workbooks)
High attention to detail and strong written/verbal communication skills
Ability to manage multiple tasks simultaneously while staying organized and proactive
Comfort with learning and navigating case management software and cloud-based systems
Professionalism, discretion, and sensitivity when working with confidential information
Strong customer service orientation and calm, supportive communication style
Preferred
Familiarity with Social Security programs (SSI/SSDI), Medi-Cal, housing supports, or Regional Center systems
Experience working with individuals with disabilities, mental health needs, or aging-related challenges
Spanish or other second language skills a plus
