Administrative Assistant for Program
Wesley Child Care Center is dedicated to providing nurturing and developmentally appropriate education for children. They are seeking an Administrative Assistant for Program to support daily operations, assist with program administration, and provide customer service to families.
Higher Education
Responsibilities
Serve as first point of contact for Wesley Child Care Center (phone and reception)
Assist and collaborate with Directors across departments, providing administrative assistance as needed/requested
Assist with miscellaneous scheduling and conference room management (meetings, tours, maintenance, special activities)
Manage office supplies, supply orders and equipment/equipment maintenance
Manage all equipment and equipment maintenance
Assist in the planning and management of Wesley events and fundraising efforts
Assist with/manage website content updates
Assist with correspondence and professional communication to families, vendors, partners, and visitors across programs
Cultivate/maintain digital filing system and physical file storage retention/destruction
Assist Executive Leadership with monthly board meeting preparation
Any other duties as assigned
Support daily needs of programs as needed
Support program operations/administration as needed
Assist with data/statistical measurement, tracking, and reporting
Maintain documentation for safety and compliance
Assist as needed with DCFS licensing and NAEYC and Illinois ExceleRate Accreditation processes
Assist with enrollment processes/paperwork
Any other duties as assigned
Embody and promote the positive, professional image of Wesley Child Care Center
Participate in fostering a culture of collaboration, accountability, and continuous learning within the team
Qualification
Required
Bachelor's degree preferred OR minimum of 5 years administrative experience supporting senior leadership
Minimum of 3-5 years in an administrative, office coordination, or program assistant role, preferably in a non-profit or educational setting
Technical knowledge & excellent professional proficiency in Microsoft Office 365 (Word, Excel and Powerpoint) and Outlook Suite
Excellent Communication (written, verbal, interpersonal) & Customer Service
Ability to manage competing priorities with flexibility and attention to detail while maintaining quality and deadlines
Must complete background check requirements, including those mandated by DCFS
High-level processing and decision making
Approachable and open to feedback/direction

Team Player
Preferred
Non-Profit Experience
Gateways Early Childhood Education Level III or higher
Knowledge of and experience with DCFS Licensing, Illinois ExceleRate and NAEYC Accreditation processes/requirements
Experience with ProCare and/or ADP platforms
