TCEQ - Administrative Assistant V

The Texas Commission on Environmental Quality is an environmental state agency dedicated to protecting public health and natural resources. They are seeking an experienced Administrative Assistant to support the External Relations Division with various administrative tasks, including handling public information requests and timekeeping functions.

Responsibilities

Provide administrative support for the External Relations Division (ERD) of the Texas Commission on Environmental Quality (TCEQ)
Serve as the division’s Public Information Request (PIR) Program Area Contact and Publication Order contact. Coordinate with the Executive Office PIR Lead Contact and division staff to gather requested information, create and organize responsive files, and track requests to ensure timelines are met. Monitor publication order group email box, submit orders to fulfillment vendor, and track order shipment
Perform other support functions including assisting with travel coordination and certain purchases for the division, and special projects as assigned
Serve as division timekeeper. Resolve issues and notify staff when timesheets are ready for certification. Remain current on all timekeeping policies and research answers to all division timekeeping questions. Train less experienced staff on leave policies and timekeeping procedures. Elevate concerns to managers
Serve as receptionist for the division. Answer and screen telephone calls, provide division and agency information, take messages, and/or refer callers to appropriate staff. Maintain division and agency-wide internal and external telephone lists. Maintain equipment inventory and serves as liaison for Division Employee of the Quarter
Provide administrative support to the division including mail distribution, mailouts, office supply and paper inventory, equipment checkout, and software updates

Required

Experience working with public information requests
Experience performing timekeeping functions
Experience using CAPPS timekeeping system
Experience answering multi-line telephone, screening telephone calls and providing information to callers
Experience preparing travel arrangements and reimbursements
Graduation from a standard senior high school or its equivalent plus five years of full-time experience providing administrative support in an office setting
Fifteen semester hours from an accredited college or university may be substituted for each six months of the required experience with a maximum substitution of four years
Two years as an Administrative Assistant IV at TCEQ
The ability to maintain the security or integrity of the infrastructure is a requirement to be hired for and to continue to be employed with TCEQ
