Responsibilities

Manage and track 29 open suspense items in Tasker with due dates ranging from the current day to mid-November
Create and close suspense items efficiently, ensuring deadlines are met and workflows are streamlined (e.g., 176 suspense items created and 144 closed)
Train team members unfamiliar with Tasker programs to ensure operational consistency and proficiency
Facilitate records management refresher training across the branch to maintain compliance and knowledge of policies and procedures
Conduct inbox and records systems clean-up to ensure accurate and organized documentation
Update records annotations, including perpetual records, to reflect accurate information
Regularly attend quarterly records meetings to stay informed on updates and provide input on process improvements
Lead newcomer/in-processing training sessions for new employees to ensure smooth integration into organizational processes (e.g., 30 training assignments completed)
Assign and oversee training programs, such as Summer Surge training (e.g., 13 training assignments)
Collaborate with leadership to design and improve onboarding and training materials
Actively participate in monthly branch meetings to stay informed about organizational updates and contribute insights to ongoing projects
Work closely with cross-functional teams to ensure alignment on business operations, financial processes, and training initiatives

Required

Ability to obtain and maintain a Secret Security Clearance
Proven experience as an administrative assistant with expertise in business and financial operations
Proficiency in Tasker and other workflow management systems
Strong understanding of records management policies and procedures, with experience facilitating training sessions
Excellent organizational and time management skills, with the ability to manage multiple tasks and meet deadlines
Strong communication and interpersonal skills to train and collaborate with employees at all levels
Ability to work independently while contributing to team efforts

Preferred

Experience in onboarding and in-processing new employees
Familiarity with perpetual records annotations and systems management
Knowledge of organizational compliance standards related to records and training
