Responsibilities

New hire onboarding processes: I-9s, BGOs, MVRs
Monitor new hire tasks in WD (hire tasks, work address tasks, etc.) and follow up with TA team on items that could delay account integration
Ensure new hire forms are submitted at least one week prior to start date; ping hiring managers as needed
Collaborate with Employee Experience and Tech teams on onboarding dates, ensure schedules are sent/communicated in a timely manner
Load welcome gifts using Paytronix
Add end-of-month items to DB Portal: TTI scores, profile photos, key result areas (KRAs)
Schedule travel for candidates' new hires
Be a resource to new employees as needed, especially around start-date readiness, travel questions, and first-week expectations
Support positive on-site experiences by assisting with facility tours for candidates, new hires, and external partners, as needed, in coordination with Talent Acquisition and business partners
Keep the onboarding board organized in Monday.com
Announce new hires and internal changes in HQ weekly comms in collaboration with HRBP team, corporate communications team, and TA every week
Serve as a resource to Recruiters and Talent Acquisition Manager as needed for coordination, status, and process questions
Talent Acquisition Zendesk inquiries (triage, respond, route/escalate, close-loop)
Serve as a resource to new employees, TA, and other business units, as needed
Provide support to the Talent Acquisition Manager with various projects and tasks, as needed

Required

1–3 years of HR coordination, talent support, or administrative experience (HR or People team preferred)
Strong organizational and project coordination skills
A positive, supportive, and collaborative team member
High attention to detail and ability to manage multiple priorities with tight deadlines
Strong PowerPoint (and/or Google) and content-creation skills (slide design, formatting, messaging)
Strong communication skills, both written and verbal
Proficiency in Microsoft Office and/or Google Workspace; familiarity with HRIS tools
In-Office Environment: Must be able to work in a busy, crowded, and loud office with frequent distractions and interruptions
Must be able to collaborate in-person with occasional impromptu in-person meetings
Office Conditions: Adaptability to typical office conditions, which may include exposure to air conditioning, heating, artificial lighting, and varying noise levels
Mobility: Ability to sit, stand, reach, twist, stretch, and work at a desk for long stretches. Must be able to occasionally move or lift office items up to 25 pounds
Hearing Requirements: Hearing must be sufficient or correctable to ensure clear understanding of spoken information, including participating in virtual meetings and phone calls. Use of hearing aids or other assistive devices is acceptable if needed
Reading and Writing Proficiency: Ability to read and write in English is essential for processing documents, drafting reports, and following up on necessary actions. Proficiency in written communication is required to handle job-related tasks effectively
Vision Requirements: Vision must be adequate or correctable to perform essential job duties, such as reading documents on a computer screen and using other visual tools. Use of corrective lenses or other measures to meet visual requirements is expected if needed
Technology Proficiency: Must be proficient in operating a computer and other office productivity tools such as printers, scanners, and collaboration software
Effective Communication: Must possess strong verbal and written communication skills to interact effectively with team members, clients, and other stakeholders via email, video conferencing, and other in office communication tools

Preferred

Dutch Bros shop leadership experience (Shop Lead or above) is a plus
Comfortable handling confidential information
Light design skills (Canva, Adobe Express, etc.) are a plus
Interest in building a long-term career in HR/Talent
