Advancement Coordinator, Stewardship and Compliance
Boise State University School of Nursing is a nonprofit Idaho organization dedicated to securing philanthropic support for the university. Responsibilities
Create gift agreements and manage the review process
Serve as the initial and primary point of contact to successfully create new gift agreements, administrative documents, memoranda of understanding, and other documents supporting new gifts to the university, ensuring compliance with internal policies and applicable laws and regulations
Understand different gift vehicles and types to successfully structure gift agreements that best align with the gift logistics and intent
Create clear and concise gift agreements that thoughtfully and strategically balance the donor’s wishes with the university’s needs, and which comply with federal, state and university guidelines
Assist development directors with the creation, review, and revisions of gift agreements and related documentation by drafting, proofreading, tracking, preparing for signature, distributing, and coordinating legal and financial signoffs required to finalize agreements
Serve as the institutional expert on the standard terms and conditions for gift documentation, ensuring consistency across all colleges and units
Manage and coordinate responses to inquiries regarding gift agreements from donors and prospect managers
Research best practices, peer institutions, market/economic conditions, and government rules and regulation and recommend changes and enhancements to improve administrative effectiveness, services and/or resources
Ensure that all gift agreements include language consistent with current laws as well as university policies and practices
Maintain gift agreement procedures and administration
Maintain gift agreement tracking sheets for the Stewardship and Compliance and Office of the Associate Vice President for Advancement Services’ staff to monitor the status of agreements in progress
Design, manage, and continuously audit a centralized repository for all executed gift agreements and associated documentation
Perform regular review of existing accounts and work with gift officers to produce new gift agreements or amendments for changes in donor intent, lapsed term agreements, or required fund modifications
Upon signed agreements being returned from donor, coordinator is responsible for meticulously entering all required stewardship, compliance, and financial fund data in archival platforms and the donor database
Perform detailed research on wide-ranging ad hoc requests for information regarding gifts and endowments, including but not limited to providing clarity on donor intent, status of gifts, and validation of gifts and usage for Boise State college units and management
Play a key role in establishing the fund in appropriate systems. Accurate management of stewardship fund data for each new fund is essential for fiscal accountability and fund management across the university
Research and resolve stewardship compliance issues
Ensure that data is managed responsibly, that donor privacy is protected, and that activity and gifts are recorded accurately and efficiently
Evaluate the gift agreement and fund creation process on an ongoing basis, recommending and implementing process improvements to enhance efficiency and reduce institutional risk
Stay current with trends, best practices, and other regulations related to gift agreements and compliance
Perform other duties as assigned
Qualification
Required
Bachelor's Degree or equivalent plus 2 years' experience
Demonstrates confidence when engaging senior university leadership, high-level donors, and prominent alumni with professionalism and tact

Must be able to handle confidential material responsibly
Preferred
Experience in higher education or a development office
