Assistant to the Executive Director

Responsibilities
Serve as first point of contact for the Executive Office for guests, greeting, assisting, redirecting as necessary to ensure needs of guests are met
Manage incoming and outgoing mail, packages, and deliveries for the Executive Office
Answers telephone, responds to questions and requests, takes messages and forwards information or caller to appropriate individuals
Coordinator with OTIS or Facilities Manager on office equipment maintenance or needs
Maintain organized filing systems (physical and digital) for easy retrieval of documents, ensuring proper record-keeping and archiving
Order and maintain office supplies, ensuring adequate stock levels for the Executive Office
Manage and maintain the Executive Director’s calendar
Coordinate travel arrangements nationally and state wide, including completion of travel authorizations, hotel accommodations, coordination of flights and processing all travel reimbursements
Prepare and organize materials for meetings, presentations, and conferences, ensuring all necessary documents are available and accurate
Organize and facilitate meetings, including preparing agendas, taking minutes, and tracking action items
Handle confidential and sensitive information with discretion and professionalism
Assist in the planning, coordination, and execution of organizational events, activities, and programming
Coordinate logistics for events, including venue booking, catering arrangements, audio-visual needs, and materials preparation
Work with the Marketing/Communication Specialist on communications for events and programs, promotion of events and programs, and day of needs for events and programs
Track event budgets and expenses, ensuring adherence to financial guidelines
Support general data entry and database management tasks as required for executive projects
Assist with special projects and initiatives as assigned by the Executive Director
Qualification
Required
High school diploma or equivalent and 2 years of related experience
Ability to manage multiple tasks, prioritize effectively, and meet deadlines
Excellent written and verbal communication skills
Anticipates needs, takes initiative, and solves problems independently
Flexible and able to adjust to changing priorities and demands
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) is essential
Professional appearance, attitude and demeanor
Ability to plan, organize, and execute various types of events and activities
