HR and Operations Coordinator

The Shalom Hartman Institute is a leading research and educational center serving Israel and world Jewry. They are seeking a detail-oriented and proactive HR and Operations Coordinator to manage HR administration and office operations while fostering a welcoming environment for new employees.

Responsibilities

Help us hire the right people by managing applicant tracking software and maintaining our organizational chart
Prepare letters, contracts, and onboarding documentation for employees and contractors
Play an important role in welcoming new employees and facilitating their onboarding
Manage the onboarding process end-to-end, liaising with other teams as needed
Track contract terms, renewals, and payment schedules
Ensure employee data is accurate, including PTO tracking, timecard compliance, and training records
Liaise with benefits companies
Maintain organized, compliant HR records
Support the VP of Talent Development and Strategic Impact on ad hoc projects as needed
Support proper set up and breakdown of conference rooms for meetings and programs
Assist with preparations for programs in the office, board meetings, staff meetings, staff retreats, and general administrative support as needed including liaising with caterers
Support smooth office management vis a vis supplies, vendor coordination, building staff, service calls, and workspace readiness (including plant care)
Ensure our kitchen and storage spaces are organized, clean and workable for all
Tackle general administrative projects with precision, from credit card coding to inventory tracking

Required

2-4 years of administrative or executive assistant experience
Exceptional organizational skills and attention to detail
Strong writing, editing, and interpersonal communication skills, with high level of professionalism and attention to appropriate correspondence tone
High level of discretion and judgment with sensitive information
High proficiency in Microsoft Office applications
Ability to manage competing priorities with calm and focus
Alignment with the mission and values of the Shalom Hartman Institute
Ability and willingness to travel occasionally
Ability to staff occasional evening or weekend programs
BA/BS or equivalent

Preferred

Monday.com and Salesforce a plus
Knowledge of Jewish Communal landscape a plus
Good sense of humor
