Executive Administrative Coordinator

They are seeking a highly capable Executive Administrative Coordinator to support senior leadership in their Raleigh, NC office, focusing on executive support, operational coordination, and administrative leadership.

Responsibilities

Managing complex executive calendars, email correspondence, travel arrangements, and critical deadlines
Anticipating executive needs and proactively resolving issues before they arise
Preparing presentations, spreadsheets, briefs, meeting notes, proofs, and other executive materials
Filter and prioritize communications, acting as a professional liaison to partners, internal departments, vendors, and the public
Overseeing administrative workflows and assisting with the creation of PDCA’s and/or SOPs
Coordinating meetings, office supplies, transportation, and reservations
Tracking deadlines, deliverables, and key initiatives across departments
Maintaining accurate records related to insurance, taxes, contracts, and upcoming payments
Leading onboarding and offboarding processes for employees
Supporting HR-related administrative functions and documentation
Assisting with logos, marketing materials, signage, and community branding
Monitoring and supporting the company’s social media presence
Organizing special events, including logistics, budgeting, and materials
Handling sensitive and confidential information with discretion, professionalism, and sound judgment

Required

Proficiency with PC and Mac systems required
Valid driver's license required
