Associate Director, Business and Finance

Responsibilities

Perform purchasing and receiving functions for Intercollegiate Department of Athletics, assuring proper allocation to accounts through the campus Gateway Procurement system
Process accounts payable (A/P) transactions including, but not limited to, entertainment, memberships, vendor invoices and reimbursements utilizing campus payment systems as appropriate
Handle revenue journals and deposits as needed Department Procurement Flexcard lead
Assist with the broad travel management operation, including but not limited to the following: Act as conduit between Anthony Travel (athletics travel partner) and UCSB Business Financial Services Book and manage car rentals with internal campus partners Manage hotel financial transactions in connection with regional hotels SAP Concur expense report reviewing and troubleshooting
Assist with NCAA Agreed Upon Procedures report, EADA report, Big West Reporting, and ad hoc university reporting
Prepares and drafts all game contracts and agreements for home non-conference and conference games
Ensures accurate record of all executed agreements and maintains database
Reviews away game agreements as needed, identifies any changes needed, and routes for review by BFS, administrative and coaching staff as appropriate
Ensures all game guarantees are paid out/or received depending on contract structure
Assist with Clery Act Reporting
Assist with facility management scheduling and rate/recharge processes
Other financial ad hoc tasks as needed

Required

High School Diploma
Bachelor's Degree in finance, accounting, economics, mathematics, or a related field
1-3 years Experience working in a financial focused role
1-3 years Experience working a fast paced, deadline driven environment
1-3 years Experience working in collegiate/professional sport
Proficient in Microsoft Office Suite, email and calendaring software
Excellent communication and interpersonal skills to communicate effectively with diverse groups at all levels, both verbally and in writing
Exceptional skills in customer service and the ability to work with a variety of constituents and in a diverse environment
Excellent analytical and problem solving skills
Ability to use sound judgment and discretion in responding to issues and concerns and maintain confidentiality
Ability to work independently and be flexible while performing a wide range of tasks concurrently and effectively
Ability to interpret and local and system-wide policies and procedures
Strong organizational and planning skills and the ability to multitask and prioritize with multiple and demanding deadlines
Ability to work under pressure in a team atmosphere and independently involving deadlines, periodic heavy work cycles and high volume while maintaining extreme attention to detail
