Program Coordinator Joint Doctoral Program

Responsibilities
Establish and implement administrative processes to ensure the smooth functioning of the JDP
Provide faculty with updates on changes to administrative processes and policies, and
Communicate with Director about faculty compliance
Collaborate with Iliff Dean’s Office and Registrar’s offices at each institution to ensure effective JDP course scheduling and posting of JDP eligible courses at each institution prior to the opening of online registration each term
Create, maintain and ensure safety of electronic files
Respond to a high volume of email and voicemail contacts
Send out messages from the deans, faculty director or assistant director as requested
Inform faculty director and assistant director of administrative challenges
Facilitate effective communication between Program Directors, faculty, and students
Serve on the JDP Committee and vote on administrative matters
Arrange “town hall” forums as directed to inform students of processes, procedures, and updates
Supervise student employees that maintain the Program’s website, e-mail lists, social media and other electronic resources
Support assessment activities (e.g., format tables and reports, send students and faculty assessment requests and materials). Enter and update JDP enrollment and demographic data in Iliff’s systems for annual and semi-annual reports for accrediting and other institutional needs
Format sections of Iliff’s or DU’s accreditation report
Serve as first contact for prospective students and respond to their ongoing questions (redirecting as necessary)
Set up campus tours and contacts for prospective students with faculty and students in program
Refer student complaints about administrative matters as appropriate
Work with DU and Iliff to respond to concerns about student conduct and provide student support in accordance with both institutions’ policies and processes
Answer students’ process related questions related to progress in the program
Facilitate comprehensive exams
Complete preliminary graduation checks and work with OGE to resolve any discrepancies
Administer financial aid awards each quarter and monitor student accounts for accuracy
Process faculty and student hires and monitor payroll for accuracy
Prepare planning documents (administrative goals and objectives) for the Program
Hire and supervise student employees
Conduct performance reviews for JDP student employees
Perform other related duties as assigned
Qualification
Required
B.A. or equivalent years of education with two years of experience in higher education administration
Excellent oral and written communication skills, basic professional writing experience, and the ability to read and understand academic policies and procedures
Ability to plan, coordinate, and manage events
Must be capable of building rapport and working professionally with a variety of individuals, performing well in a complex, multi-task oriented, and fast-paced environment, and quickly re-prioritizing tasks and projects to accommodate changes in scheduling and requests from the JDP deans and directors
Must be proficient in Microsoft Word, Excel, Outlook, and Zoom and have familiarity with social media platforms and website maintenance or willing to learn
Must be detail-oriented, ready to learn, mature in judgment with the ability to solve problems and make decisions on a regular basis while exercising discretion and professionalism, and be able to work independently and take initiative
Must be a fast learner
Preferred
Professional experience with budgetary processes, at a minimum keeping track of income and expenses and representing financial transactions on a spreadsheet, finding and using financial information maintained in university accounting software
Experience in managing educational programs
