Legal Receptionist

Responsibilities

Greet and assist guests, visitors, candidates, and vendors with a friendly, professional demeanor
Answer and manage the general phone line, directing calls and inquiries appropriately
Manage visitor check-in and maintain accurate guest logs
Coordinate conference room scheduling and maintain shared office calendars
Support HR and administrative functions, including assisting with onboarding and new hire orientations
Welcome and orient candidates arriving for interviews
Assist with mail distribution, supply inventory/orders, shipping, and delivery coordination
Run basic reports and assist with data entry and administrative tracking
Send out team notifications and updates via Slack/Teams
Maintain a polished front office and professional environment aligned with company standards
Support internal teams with general administrative tasks and special projects as assigned
Report and coordinate routine office service needs with maintenance, cleaning, IT, and other support teams as needed
Assist with office events, meetings, and coordination as needed

Required

Interest in professional growth and learning about the tort legal intake industry
High school diploma or equivalent
Minimum of 1 year of experience in a receptionist, administrative, or office support role
Able to confidently use Microsoft Office and/or Google Workspace (email, calendars, documents, spreadsheets) in a professional office setting
Strong communication and interpersonal skills
Excellent organizational skills with strong attention to detail
Ability to multitask, prioritize, and adapt to changing needs
Professional appearance and demeanor
Must be legally authorized to work in the United States. This position requires verification of employment eligibility in accordance with federal law, and participation in E-Verify
