Responsibilities

Performance of day-to-day administrative, technical tasks, procedural and routine maintenance of related data and documents
Development and maintenance of centralized digital repository of data, reports, and documents relating to the assigned area of responsibilities
Develops and maintains a method to track deadlines, extensions, notices, renewals, other time or compliance related tasks
Monitors, analyzes and incorporates changes into forms, documents, or reports
Retrieval, data entry and/or processing of applicable finance, contract, or fiscal tasks and transactions in Ventura Superior Court case management or financial management systems
Gathers, tracks, verifies, reviews, updates, and processes applicable files, data and information as required to execute, administer, implement and complete Ventura Superior Court’s financial, contractual, procedural, or fiscal obligations
Provides liaison duties with court management, court personnel, fiscal departments, other departments, partner agencies and others in processing, researching, or compiling data, documents or information as appropriate
Assists in the interpretation of a wide variety of simple to complex laws, regulations, policies and procedures
Reviews terms and conditions to ensure compliance with Ventura Superior Court’s or Judicial Council’s standards, policies, and in accordance with applicable federal, state or other related regulations
Participates in meetings, trainings, conferences in support of functional assigned area and to stay abreast of contract, compliance regulations or other legal aspects in support of the assigned functional area
Assists Court vendors and members of the public over the phone or by e-mail
Prepares periodic or custom reports and worksheets
Establishes and maintains effective working relations with everyone encountered in the workplace
Performs other related administrative, technical duties within the scope of the position

Required

Any combination of training, experience and education that allows acquisition of the required knowledge, skills and abilities
One (1) year of related college course work may be substituted for one year of work experience
Finance Services Specialist I: Two years of work experience performing the related tasks as stated above
Finance Services Specialist II: One year of work experience performing the required tasks as a Finance Services Specialist I in Ventura Superior Court, or three (3) years of progressively responsible performance of the required tasks
Knowledge of automated office practices and procedures, including business correspondence, filing, keyboarding, data entry and standard office equipment operations
Knowledge of computer skills such as Microsoft Word, Access, Excel, e-mail, Outlook and the Internet as required in the development of pertinent data driven reports or worksheets as required for the position
Knowledge of applying and interpreting finance, fiscal or contract related principles
Knowledge of preparing and analyzing a variety of financial or contract statements and reports
Knowledge of using automated financial software, or ERP (Enterprise Resource System)
Knowledge of learning and applying governmental fiscal, financial concepts and accounting processes, and other requirements
Knowledge of preparing monthly reports, reconciliations and schedules
Knowledge of researching, identifying and correcting errors in financial, contract or fiscal transactions
Knowledge of prioritizing assignments and meeting scheduled deadlines
Ability to perform basic mathematical calculations
Ability to understand the relationships among fiscal, financial, contract or statistical records and documents
Ability to learn Ventura Superior Court's financial and case management systems, and other specialized systems, as required for the position
Ability to pay strong attention to details and accuracy
Ability to participate in group meetings or individual discussions
Ability to communicate effectively orally and in writing
Ability to establish priorities and organize time
Ability to understand and follow instructions and procedures
Ability to read and comprehend general and technical information
Ability to follow both oral and written directions
Ability to evaluate and analyze fiscal, financial or contract information and data and identify discrepancies and resolve issues efficiently
Ability to learn Ventura Superior Court's functions, culture, including fiscal, finance, contract and applicable court functions terminologies as required to perform the required skills, knowledge and abilities successfully for the position
Ability to work under deadlines and manage task related cycles
Ability to establish and maintain cooperative working relationships with everyone encountered in the course of work
Ability to work outside of scheduled hours as required by court business-related reporting periods
Ability to exercise sound judgment and discretion when performing duties within the scope of the position
Ability to use a variety of computer applications
Frequent use of a personal computer and its peripherals including keyboard, mouse and monitor for extended periods of time
May require the use of a telephone with a headset for extended period
May be required to sit for extended period
May be required to work in an environment that includes frequent interruptions and simultaneous attention to multiple tasks
Frequent hand, fingers and/or wrist motion
Minimal reaching at or above shoulder level
Ability to work alone or closely with others
May require movement through the department for use of a variety of office equipment such as printer, copier, etc
Minimal bending, stooping, squatting, twisting, reaching, or working on irregular surfaces
Shared office environment with varying degrees of hot and cold air
Shared workstation with varying set up
Requires exposure to dust, printer, or fax machine toner
Requires the ability to travel or be transported to work at other court locations, intermittently, temporarily or on a regular basis, depending on the business need of the court
Must be able to traverse indoors and outdoors, over uneven ground and pavement in all types of weather
Constant interruptions, with high volume of telephone and personal interaction
