Program Coordinator

Responsibilities
Interacts with faculty, staff, trainees, visitors, and collaborators in a professional and collegial manner consistent with the values of Jefferson
In coordination with the Division Director, develops, maintains, and reports divisional metrics related to faculty productivity, including publications, grant submissions and awards, program activities, and other indicators required for divisional leadership, institutional reporting, and strategic planning
Coordinates divisional communications and outreach infrastructure, including maintenance of the divisional website, social media and digital content, newsletters, and coordination with departmental, cancer center, and institutional communications partners to distinguish the Division of Population Science within SKCCC
Provides administrative support to divisional faculty for grant-related activities, including coordination and assembly of biosketches and other required materials
Coordinates divisional activities, including retreats, seminars, and other recurring activities, to support faculty engagement, collaboration, and divisional visibility
Maintains accurate, current, and organized administrative files for current and prospective divisional faculty and maintains organized divisional source records related to CVs, publications, and grants
Coordinates divisional meetings, including scheduling, room and audiovisual arrangements, preparation of meeting materials, assistance with presentations, and on-site logistical support
Processes and tracks divisional faculty expenses, reimbursements, and discretionary funds and executes routine intercampus errands and operational tasks required for the efficient operation of the division
Serves as the primary front-facing point of contact for the division by managing incoming telephone communications, responding with tact and professionalism, accurately recording messages, and directing inquiries to the appropriate individuals
Prepares divisional correspondence, reports, and presentation support materials as requested by faculty and divisional leadership
Safeguards the confidentiality of sensitive information and information assets and ensures compliance with institutional policies related to privacy, data security, and responsible information management
Qualification
Required
High School Diploma
3 Years' experience
Computer proficiency including Microsoft Office
