Responsibilities
Schedule and coordinate meetings across internal teams, subcontractors, and external partners
Take structured meeting notes, track action items, and follow up to ensure progress
Maintain clear, up-to-date internal program pages with links to documents, deliverables, and decisions
Maintain a single cross-program internal calendar covering deadlines, reviews, and key events
Track deliverables and milestones (e.g., quarterly reports, “edge of the art” reports, reviews)
Proactively remind PIs and contributors of upcoming deadlines
Handle delivery logistics for reports, code, and other artifacts (uploads, portals, distribution lists)
Coordinate with subcontractors to ensure expectations, formats, and deadlines are clear
Support scheduling and logistics for IV&V and other external review activities (without being the technical point person)
Track new funding opportunities (e.g., BAAs, PM movements, white papers)
Maintain internal tracking of business development efforts and external relationships
Support proposal logistics: submission portals, formatting, page limits, deadlines, and proofreading
Own templates and boilerplate (quarterly reports, slide decks, standard documents)
Perform “compliance sanity checks” (e.g., open-source obligations, data management plans — not legal review)
Assist with contract administration when Aarno is the prime (in coordination with leadership and legal counsel)
Coordinate equipment purchasing and inventory
Oversee the annual performance review process
Coordinate company events (offsites, holiday events, monthly lunches)
Manage the company website and social media presence
Coordinate and prompt internal contributors for blog posts and announcements
Delegate copywriting as needed and ensure consistency and follow-through
Qualification
Required
Experience coordinating complex projects or programs with multiple stakeholders
Strong organizational skills and follow-through
Comfort working in a technical research environment and asking precise clarifying questions
Clear written and verbal communication
Ability to operate independently and own outcomes
US citizen or lawful permanent resident (Green Card Holder)
Preferred
Experience with DARPA, ARPA-H, DoD, or federally funded research programs
Prior SETA, technical program manager, or research operations experience
Technical literacy in computer science or engineering (deep technical expertise is not required)
You do not need to be a software engineer or researcher. You do need to be comfortable working alongside them
