Office Manager & Bookkeeping Coordinator
S.A. Baxter Inc. is a San Francisco-based residential construction firm specializing in high-end renovations. They are seeking a reliable and organized Office Manager & Bookkeeping Coordinator to support day-to-day operations and project financial administration, ensuring accuracy and organization in their processes.
Human Resources
Responsibilities
Manage daily office operations and internal coordination
Maintain organized digital and project files
Support Project Managers with documentation, billing support, and workflow tracking
Assist with onboarding paperwork and internal compliance tasks
Serve as a professional point of contact for vendors and consultants
Assist with accounts payable and receivable
Prepare invoices and support client billing
Track expenses and support job costing accuracy
Coordinate payroll and vendor payments
Maintain clean records for external bookkeeper / CPA review
Use JobTread to support project tracking and billing
Ensure data accuracy across systems
Help maintain consistent internal processes
Qualification
Required
2-4+ years in office management, construction admin, or bookkeeping support
Comfortable with AP/AR and invoicing (full bookkeeping mastery not required)
Detail-oriented, reliable, and organized
Clear communicator who follows through
Preferred
Experience in residential construction or renovation strongly preferred
Experience with JobTread is a strong plus
