Health Records Clerical Officer

They are seeking a Health Records Clerical Officer to maintain patient confidentiality, manage patient records, and provide clerical support across various hospital departments.

Responsibilities

Maintain patient confidentiality in line with GDPR and Caldicott principles
Accurately manage patient records using TrakCare and electronic tracer systems
Handle, file, retrieve, scan, and prepare case records for clinics, admissions, and authorised staff
Manage telephone, face-to-face enquiries, mail, and deliveries efficiently
Provide reception and clerical support across hospital departments, including wards and Emergency Department
Support outpatient clinics, referrals, waiting lists, appointments, and patient correspondence
Assist in developing electronic patient records through scanning and indexing
Identify overseas/cross-boundary patients and process access-to-record requests in line with GDPR
Arrange interpreters and support major incident and contingency procedures
Handle cash, stock, training, staff cover, and ongoing professional development
Promote patient-centred care and act as a role model for NHSGGC values, dignity, and respect

Required

National 4/Level 1 qualification in 3 subjects, including English, or equivalent
General administration or clerical experience desirable
Computer literate with good keyboard skills
Reception experience desirable
Experience with Patient Management Systems desirable; training provided
Strong organisational skills; able to prioritise and meet deadlines
Good communication and interpersonal skills with a range of professionals
Self-motivated and able to work on own initiative
Flexible and able to cope in stressful, pressurised environments
