Client Human Resources Coordinator

FirstService Residential is focused on building a scalable operation while supporting the company's growth. They are seeking an energetic, motivated Human Resources Coordinator responsible for recruiting, training, payroll, employee relations, and compliance.

Responsibilities

Administers and maintains the HRIS (ADP WorkForce Now), including processing new hires, status changes, terminations, promotions, rate changes, labor allocations, and PTO accruals
Leverages HR technology to streamline processes, improve data accuracy, and enhance overall HR operations
Serves as a point of contact for employees and managers regarding HRIS access, union contracts, timecards, PTO accruals, and employee data
Reviews employee employment profiles (including position, pay rate, classification, and status) to ensure alignment with applicable union contracts and building-specific handbooks
Collects, reviews, and maintains required employee documentation to ensure compliance with federal, state, local, and union regulations
Maintains accurate and up-to-date employee records, including personnel files and I-9 documentation, and ensures timely follow-up when additional documentation is required
Performs data quality checks and reviews HRIS and payroll entries for accuracy prior to payroll processing and system updates
Supports internal audits, payroll reviews, and data validation efforts to ensure compliance and data integrity
Supports employees with general employment- and payroll-related inquiries, escalating issues as appropriate
Creates, updates, and maintains HR user guides and process documentation for employees and managers
Assists with onboarding and offboarding of new clients and employees within the HRIS
Runs and distributes HR and payroll reports from ADP for accounting and property management teams
Processes payroll adjustments, retroactive pay, and off-cycle payrolls on an as-needed basis
Assists with special projects and ad hoc HR initiatives as needed

Required

1-2 years' experience in the HR field, OR any similar combination of education and experience
Proficiency with or the ability to quickly learn the organization's HRIS system (ADP WFN)
Effective HR administration and people management skills
Excellent organizational skills and meticulous attention to detail
Excellent verbal and written communication skills
Proven excellent customer service skills and ability to be flexible, a team player and interface professionally with all levels of internal and external
