Account Support Specialist & Office Operations

The Account Support Specialist & Office Operations position supports the Account Management team by assisting with client support, quoting, and overseeing commission processes while ensuring smooth office operations.

Responsibilities

Assist with gathering census and plan information for new business and renewal quotes
Prepare quote comparisons and proposal materials for Account Managers
Support renewal implementation and follow-up tasks
Communicate with carriers to obtain rates, plan details, and documentation
Serve as a primary contact for a small book of small-group clients (typically 2–4 enrolled employees)
Respond to client questions related to enrollment, billing, eligibility, and basic benefit issues
Escalate complex issues to Account Managers as needed
Support open enrollment preparation and materials for small groups
Process, post, and reconcile commission statements
Assist with commission reporting and tracking
Help maintain organization of internal systems, files, and documentation
Support general office coordination
Assist leadership and team members with administrative and project-based tasks
Organize and coordinate select internal staff events and track client events for staff attendance throughout the year
Contribute to improving internal processes and workflows
Onboarding and exiting internal staff
Work closely with Account Managers and Client Services to ensure a seamless client experience
Communicate clearly and consistently with internal team members
Participate in training and professional development to build industry knowledge and skills

Required

Strong organizational skills and ability to manage multiple tasks at once
Clear and professional written and verbal communication skills
Detail-oriented with strong follow-through
Problem-solving mindset and willingness to learn
Comfortable working with spreadsheets, documents, and internal systems
Proficiency in Microsoft Office (especially Excel and Word)
Valid driver's license and ability to travel locally if needed

Preferred

Experience in insurance, employee benefits, finance, or an office administrative role
Experience working with data, reports, or reconciliations
Exposure to client service or customer-facing roles
Interest in building a long-term career in employee benefits
Willing and able to obtain Wisconsin Life & Health License
