Responsibilities

Develops and maintains positive relationships with employees, providers, and management staff
Promotes a positive image of the Hospitalist department. Address patient, visitors, families, and co-workers in a pleasant and respectful manner; display courtesy at all times. Facilitates effective communication between healthcare providers, patients, and their families
Managing calendars, scheduling meetings, and coordinating events for the Hospitalist Medical Director, APP Supervisor and Hospitalist Team. Responds quickly and appropriately to inquiries and requests
Handling the procurement of necessary department supplies and equipment
Owns, edits and updates department webpage and associated documents including workflow, process improvements. Organizes and publishes department monthly newsletter
Work with departmental colleagues and senior leadership to ensure cohesive and efficient operation
Provide excellent customer service to patients, families, and healthcare team members. Assists in completion of necessary paperwork, such as certificate of medical necessity or FMLA paperwork, for patients and families
Maintain accurate records and documentation related to Anesthesiologist team and administrative tasks
Utilize Confluence Health Organizational Improvement Tools
Communicates or facilitates employee recognition, engagement activities and programs
Creates and publishes provider work schedules and assists in adjusting staffing arrangements to accommodate staff illnesses and emergencies. Tracks locum tenen time sheets and expenses for department leadership
Tracks and reports all provider shift counts and payroll information to accounting monthly and yearly (including but not limited to FMLA/PFML time off, CME, etc.). Utilizes time-keeping systems to approve timecards
Organizes and schedules meetings, prepares PowerPoint presentations, records meeting minutes, and regularly attends department or provider meetings
Assists in solving employee work-related concerns and helping employees perform to their potential
Keeps accurate record, with the guidance of senior leadership coordinates the budget process and prepares informational reports of expenses and account management at the request of department leadership
Assists with the preparation and coordination of guests and department recruits. Coordinates with Provider Recruiting the creation of itineraries and schedules
Facilitates the communication and implementation of department goals, objectives and operational policies and procedures
Organizes and keeps record of department committee participation, RVU tracking and facilitates data necessary for annual reviews
Obtains prior authorizations for specialty physician appointments and works collaboratively with Pharmacy to obtain prior authorization for specialty medications
Performs other duties as assigned

Required

High School Diploma or equivalent
5 years of healthcare experience
2 years of Confluence Health Experience
Independent decision making and problem solving
Organizational skills and attention to detail
Demonstrated excellent verbal and written communication skills
Must possess strong computer skills related to Windows and MS Office

Preferred

Associate's Degree or Bachelor's Degree
Demonstrated working experience building successful cross-functional relationships; knowledge and experience in problem solving and conflict resolution
Certified in Lean Management or equivalent quality improvement processes
