Responsibilities

Schedule, prepare, and process outgoing domestic shipments; support international shipping activities as needed
Track incoming shipments using Notifii software
Inspect incoming materials for damage and accuracy; report discrepancies promptly
Match shipments to purchase orders and enter receiving data into D365
Maintain shipping and receiving records and documentation
Coordinate placement and delivery of materials to appropriate locations (labs, offices, shipping/receiving areas)
Return damaged or incorrect products to vendors
Safely operate material handling equipment, including pallet jacks
Serve as primary on-site point of contact for vendors, and visitors
Provide general office support
Manage office supplies, furniture, and equipment inventory; place orders as needed
Submit and track service requests with Alexandria Real Estate for facilities issues (HVAC, electrical, pest control, access, furniture/equipment moves, etc.)
Act as point of contact for security and alarm monitoring systems for freezers and temperature-sensitive equipment
Collect and submit invoices, purchase orders, and packing lists
Assist with purchase requests, purchase orders, and weekly processing
Attach and reconcile credit card receipts in Concur with appropriate G/L coding
Track and file receipts and supply orders to support monthly expense and accrual reporting

Required

High School Diploma
Strong attention to detail and ability to follow established procedures
Ability to operate material handling equipment safely
Basic math and inventory tracking skills
Strong organizational and time-management capabilities
Effective verbal and written communication skills
Ability to work independently and coordinate across teams
Proficiency with standard office systems and software (e.g., Microsoft Office, ERP systems)
