Responsibilities
Manage company insurance programs, including health, workers’ compensation, auto, bonding, and Owner Controlled Insurance Programs (OCIPs)
Maintain accurate employee records, including salary history, raises, and bonuses
Oversee bank accounts and perform monthly reconciliations
Administer and maintain accounting software, ensuring proper access and functionality
Support accounts payable (AP) and accounts receivable (AR), ensuring accuracy and cross-training within the department
Manage petty cash, cash flow, and weekly reporting
Maintain equipment inventory records for tax and insurance purposes
Partner with external CPA on tax filings, year-end closings, and financial reporting
Prepare and distribute internal financial reports, including monthly/quarterly financials, payroll, receivables, payables, and employee counts
Ensure compliance with all tax requirements (state and federal) and provide year-end financial information to CPA by deadlines
Maintain certified payroll records for applicable projects
Handle administrative responsibilities such as notarizing documents (if certified) and coordinating with vendors as needed
Qualification
Required
Associate's or Bachelor's degree in Accounting, Finance, or related field (or equivalent experience)
3+ years of accounting or bookkeeping experience
Working knowledge of AP/AR processes, bank reconciliations, and cash flow management
Proficiency with accounting software
Strong attention to detail and organizational skills
Ability to handle confidential information with discretion
Excellent communication skills and comfort working in a small office environment
Preferred
Payroll experience preferred
Familiarity with insurance programs (health, workers' comp, auto, bonding) a plus
Experience with ComputerEase highly valued
Notary certification a plus (or willingness to obtain)
