This role is responsible for ensuring every prospective and brand-new client receives a high-touch, red-carpet “WOW” experience that reflects the firm’s professionalism, values, and commitment to excellence.

Responsibilities
Serve as the first impression ambassador for all prospects and brand-new clients
Greet prospects for scheduled meetings and create a consistent WOW experience
Ensure lobby, conference rooms, and common areas are clean, welcoming, and prepared
Prepare conference rooms with correct PDFs, welcome screens, and meeting materials
Handle incoming calls from leads and prospects; qualify leads and schedule appointments
Send confirmation emails and letters
Manage CRM data entry and updates
Support seminars, workshops, webinars, and client events including registration, setup, and follow-up
Track marketing metrics and assist with drip campaigns, newsletters, and re-engagement efforts
Qualification
Required
Strong organizational and follow-through skills
Comfortable working from defined processes and checklists
Professional, warm, and confident in client-facing situations
Strong verbal and written communication skills
Ability to manage recurring tasks without reminders
Preferred
Experience in client service, marketing coordination, or administrative support preferred
