Administrative Assistant (Full Time)
SAE Institute is a higher education institution, and they are seeking an Administrative Assistant to welcome students and guests, manage phone communications, and assist with various administrative duties. The role involves monitoring the front desk, coordinating events, and ensuring excellent customer service on campus.
Education Management
Responsibilities
Monitor the front desk, lobby, entrance area and conducts check in procedures
Greet everyone entering or calling the school in a professional and courteous manner
Handles requests/transactions by assessing needs or directs the person or matter to the proper sources
Assists in resolving problems and ensuring satisfactory customer service
Responsible for the majority of incoming/outgoing phone calls. Uses effective telephone techniques at all times
Route and dispositions all voicemails and messages effectively using the company directory as they come in or with in 1-2 hours
Collect all new start acknowledgement forms and admissions interview guide and scan into the electronic file for each student
Update student record with directory information accurately. Administer the entrance assessment following SAE Policies and Procedures
Assist with the coordination Graduation ceremonies, orientation, open house and other on campus activities as requested by Campus Director
Operates office equipment such as printers, copy machines, fax machines and serves as liaison with service and vendor personnel
Coordinate office supply ordering, with approval of Campus Director
Keep front desk, lobby and break room/kitchen areas neat, tidy and welcoming
Receives mail or correspondence for the campus. Opens or reviews correspondence and determines proper disposition
Assist with all or any administrative duties set forth by the Campus Director
Comply with all SAE Policies and Procedures
Other duties as required
Qualification
Required
Proficiency in MS Office and Internet search
Proficiency in Mac Computer and PC
Good organizational skills
Willing to represent the school honestly and ethically and in a professional manner
Ability to communicate effectively in English, both orally (in one-on-one and group settings) and in writing
Ability to establish and maintain effective working relationships with staff, faculty, and students, and community members and to effectively deal with potential public relations problems courteously and tactfully
Ability to work with diverse constituencies, individually and as a group
Willingness to work on a flexible schedule as required (includes evenings and weekends)
Communicates effectively with people at all levels in the organization
Communicating clear and concise information; avoiding vagueness, ambiguity, and mixed messages
Giving specific, timely feedback to manager and others increasing the organization's efficiency
Receiving cooperation and support from people at varying levels and in different groups
Remains productive during periods of change
Works collaboratively with people throughout the organization
