Billing Supervisor

The Billing Supervisor is responsible for overseeing the daily operations of the Billing Department, managing the billing lifecycle, and ensuring accurate invoice delivery while leading a team of Billing Specialists.

Responsibilities

Supervise, coach, and develop a team of Billing Specialists to ensure efficient and accurate performance
Oversee the complete billing cycle, including invoice generation, review, corrections, and distribution within established timelines
Ensure invoices meet customer specific requirements, contractual obligations, and internal quality standards
Monitor workflow, assign tasks, and balance workloads across the team to support operational consistency
Identify billing errors, determine root causes, and implement corrective actions to prevent recurrence
Develop and implement process improvements to enhance efficiency, accuracy, and scalability
Monitor aging reports daily/weekly to identify delinquent accounts and ensure timely follow up
Lead collections efforts for past due accounts, including communication with customers, issue resolution, and escalation when necessary
Partner with accounting, sales, and operations teams to resolve billing disputes and discrepancies affecting payment
Develop and track key performance indicators (KPIs) for collections effectiveness and accounts receivable health
Recommend and implement strategies to reduce days sales outstanding (DSO) and improve cash flow
Serve as the primary billing and A/R contact for an assigned portfolio of customers
Build and maintain strong customer relationships to support billing accuracy and timely payments
Proactively communicate regarding invoice details, account status, past due balances, and potential issues
Participate in customer meetings as needed to discuss billing performance, outstanding balances, and process improvements
Ensure customer account setups and billing configurations are maintained accurately
Provide training, guidance, coaching, and performance evaluations for Billing Specialists
Maintain procedures and documentation to ensure compliance with company policies, audit requirements, and regulatory standards
Collaborate with leadership to set departmental goals and align operational strategies
Support system upgrades, new implementations, and cross departmental initiatives related to billing and A/R

Required

Bachelor's degree - Business or related field
3-5 years of billing, accounts receivable, or financial operations experience
5+ years of supervisory experience in a billing, collections or accounts receivable environment
Strong understanding of billing processes, account reconciliation, and A/R collections
High level of accuracy, attention to detail, and analytical problem‑solving skills
Excellent communication skills, both written and verbal
Proficiency with Microsoft Excel and enterprise billing or ERP systems

Preferred

Experience in multi‑market, high‑volume billing and collections environments
Familiarity with customer portfolio management or customer‑facing account management
Demonstrated ability to lead process improvements and drive operational efficiency
