Executive Assistant to the Chief Marketing Officer (CMO)
Museum of the Bible is a global, innovative, educational institution whose purpose is to invite all people to engage with the transformative power of the Bible. The Executive Assistant to the CMO serves as both administrative and strategic support, managing priorities and overseeing key projects to maximize the CMO’s effectiveness.

Responsibilities
Act as “right hand” to the CMO, anticipating his business needs and proactively addressing them
Continuous support with emails, calendar, travel and expense reports
Proactively manage CMO’s schedule and coordinate times, subjects and objectives of meetings as well as follow-ups
Prepare leaders with necessary materials for meetings, note taking when required and ensure action items are followed up on
Act as a confidante, advisor, and sounding board, helping the CMO prioritize time and focus on high-impact activities
Solve problems and remove roadblocks before they reach the executive, often mediating disputes and acting as an "honest broker."
Filter information, improve communication flow between Marketing leadership and the organization, and assist with internal/external messaging (speeches, newsletters)
Identify inefficiencies, assist with budgets, track performance metrics, and ensure cross-functional teams collaborate effectively
Coordinate strategic initiatives, manage timelines, and liaise with stakeholders
Occasionally attend meetings and represent the CMO's interests in his absence
Implement programs to improve employee engagement and department culture (monthly meetings, team outings, development opportunities etc.)
Help directors to prepare reports or presentations
Manage daily calendar entries
Prioritize and respond to all emails within a reasonable time frame
Manage internal and external communications
Plan and organize meetings with internal and external teams
Arrange business travel
Manage CMO expense reports
Manage team supplies
Provide support as requested to Marketing Division directors (Marketing, Digital, Creative, PR, Content, Theater)
Assist with budget management across CMO departments
Maintain practical working relationships and camaraderie with other Executive Assistants in the organization, mutually providing assistance for company-wide projects and events
Manage special internal and external projects
Other Duties as Assigned
Qualification
Required
Attention to details and ability to connect connection of complex list of influences comes naturally
Stepping into spaces proactively, researching and involving the right resources to address issues quickly
Thriving on relationships, inclusion of stakeholders, welcome feedback and love to work with other stakeholders, peers and team members
Chief advocate for mission internally and externally, collaboration, respect, accountability and enjoying work
HS Diploma or GED Equivalent required
At least 2 years of experience as an assistant to a very busy, high-profile leader, handling all aspects of administrative work, including email/calendar management, expense reporting and dynamic travel arrangements
Knowledge of standard office procedures
Familiarity with Marketing strategies, Creative departments, and Public Relations
Solid experience with MS Office Suite and project management platforms
Strong communication skills, via phone, email, and in-person
Excellent organizational and project management skills
Experience providing complex administrative support in a high-profile environment with tact and diplomacy
Highly detailed and organized
Uphold a strict level of confidentiality maintained with the CMO and Executive Team
High personal and professional integrity
Multi-tasker, with the ability to triage competing priorities and effectively manage stress
Self-driven, proactive approach to problem solving with strong decision making
Able to streamline operations
Able to travel to conferences, events in and outside the DC area as needed
Able to work nights and weekends as needed
Ability to lift 20 pounds

As required, inclusion in official or incidental photographs and videos for MOTB and/or guests
Preferred
BA degree in related field preferred
Experience across standard marketing/creative platforms such as Placer.ai, WeTransfer, Adobe, etc., a plus
