Responsibilities

Serve as the primary point of contact at the front desk for residents, guests, vendors, and homeowners
Operate and manage a multi-line phone system and shared community inbox
Sort, distribute, scan, and process incoming mail, invoices, and notices
Perform accurate data entry for invoices, reimbursements, and records
Create and assign work orders for common-area maintenance and repairs
Maintain cleanliness and organization of the lobby, entrance, and refreshment station
Schedule resident event space rentals, inspections, and post-event walk-throughs
Process homeowner and vendor documentation (insurance, leasing, census)
Respond to resident, board, and vendor inquiries and document interactions in CiraNet
Assist with preparation of board and annual meeting materials, notices, and agendas
Attend meetings as needed to assist with setup, minutes, and follow-up items
Track and prepare homeowner violation correspondence and logs
Review and code accounts payable daily
Track vendor contracts, renewals, and assist with bid coordination
Maintain and update association records and governing documents
Proofread and distribute community communications
Support association events, committee meetings, and social functions
Perform other duties as assigned by the General Manager
