Executive Assistant
Soucie Horner Design Collective is a fast-paced, luxury interior architecture and design firm. They are seeking an Executive Assistant to provide high-level administrative, managerial and personal support to the Principal and act as a liaison to clients, employees, and vendors.

Responsibilities
Serve as a primary communications liaison for the Principal, managing select client, vendor, and partner interactions with polish and discretion
Draft, review, and prioritize correspondence; respond on behalf of the Principal when appropriate
Coordinate logistics for meetings, presentations, and client‑facing engagements
Support smooth communication and information flow across the Chicago, Naples, and Saugatuck teams
Schedule internal check‑ins and touch‑base meetings with studio leads and staff
Maintain a high‑touch, brand‑aligned experience in all interactions
Support branding, marketing, and content initiatives (presentations, launches, events, media)
Assist with scheduling, coordination, and follow-through on creative projects
Help manage timelines and deliverables related to brand partnerships, hospitality, and marketing efforts
Act as a connective thread between design, brand, and leadership teams
Coordinate ideas and thoughts Principal has with Strategic Marketing Director including photos, imagery, The Record, etc
Prepare interview packages for potential client proposals and setup for related meetings
Send follow-up correspondence after initial interview to determine next steps
Develop and maintain prospective client tracking system to keep Principal abreast of when he should touch base with prospects
Lead planning and coordination of meetings, events, and special gatherings, ensuring seamless execution and an elevated guest experience
Partner with the Chief Marketing Officer to support and execute company events, retreats, and private engagements
Manage event logistics end‑to‑end, including timelines, run‑of‑show, RSVPs, and on‑site oversight
Support internal and client‑facing hospitality initiatives, including meals, workshops, and seasonal gatherings
Coordinate gifting, celebrations, and brand‑aligned hospitality moments across locations
Travel occasionally to support events and brand experiences in Saugatuck and other growth markets
Collaborate on event budgets and manage vendor sourcing and negotiations
Support quarterly Salon Dinners and select Wickwood Inn events
Ensure smooth coordination of audio/visual and food & beverage needs in partnership with internal teams
Record and distribute meeting minutes when required
Help coordinate and keep inventory of Principal’s purchases on behalf of clients and submit receipts to Finance Team
Coordinate post-shopping trip downloads and follow-up with Principal and the appropriate designers to determine next steps
Manage time, expenses, and task tracking for the Principal with accuracy and discretion
Coordinate complex travel arrangements for the Principal and team, ensuring seamless itineraries
Maintain organized digital and physical filing systems to support efficient workflow
Provide personal administrative support, including scheduling appointments and coordinating occasional personal travel
Ensure the Principal’s workspace and materials remain organized and conducive to productivity
Qualification
Required
Bachelor's degree
5-10+ yrs. of high-level Executive or Personal Assistant roles supporting C-suite leaders, principals or creatives
Desire to work alongside principal in building a luxury lifestyle brand
Extremely proficient with Microsoft Office Suite
Refined and discreet, knows how to represent an elevated lifestyle brand
Possesses high emotional intelligence
Understands the nuances of luxury, design, hospitality and high-touch service environments
Anticipates the expectations of a discerning clientele and adapts seamlessly to elevated environments
Knows how to be present but not intrusive—respecting boundaries while staying engaged
Possesses a natural eye for design or at least a strong appreciation for aesthetics, craftsmanship and brand standards
Can manage dozens of moving parts across multiple time zones, projects, and calendars without losing sight of the details
Skilled at prioritizing when everything feels urgent
Handles last‑minute changes with calm, speed, and zero drama
Communicates proactively—keeps the principal informed without overloading them
Understands the sensitivity of personal, financial, and client information
Exercises impeccable judgment about what to share, with whom, and when
Loyal, discreet, and deeply reliable
Takes ownership, thinks three steps ahead and gets things done without being asked twice
Operates beyond basic task execution and owns the follow-through
Thrives in an environment where no two days look the same
Able to travel on occasion; comfortable working from Chicago office and occasionally in Saugatuck, MI or Naples, FL
Able to type minimum of 50 words per minute and learns new software, tools, and systems quickly; comfortable adapting to updated processes and technologies
Manage time, expenses, and task tracking for the Principal with accuracy and discretion
Coordinate complex travel arrangements for the Principal and team, ensuring seamless itineraries
Maintain organized digital and physical filing systems to support efficient workflow
Provide personal administrative support, including scheduling appointments and coordinating occasional personal travel
Ensure the Principal's workspace and materials remain organized and conducive to productivity
Prolonged periods sitting at a desk and working on a computer
Long periods of time standing while circulating among guests during special events
Must be able to lift up to 30 lbs. at times
Must be able to drive and hold a valid driver's license
Preferred
